Configuring Visitor Schedules in UniFi Access

UniFi Access makes it easy for admins to manage guests and visitors by scheduling visits with access to specific locations at set times. Kiosk Mode also allows visitors to check in, print a badge, and unlock doors—all on their own, without needing staff assistance. For general access policies for regular users, click here

Update your UniFi OS, Access application, and Access devices to the latest versions for the newest features and optimal performance.

Creating New Visitors

  1. Navigate to Access application > Settings > Visitors > Create New Visitor.
  2. Specify the Visitor Name.
  3. Specify the Schedule, whether this is a One-Time, or Recurring visit.
  4. Assign the Visit Locations (i.e., the door, gate, or elevator).
  5. Enable Require Check-In at the Kiosk to ensure visitors complete self-service check-in before they can unlock any doors. See here for setup instructions.
  6. Assign Credentials for unlocking doors. 
  7. Click Create.
  8. Click to Send an invitation email or SMS to the visitor.

Configuring Kiosk Mode for Self-Service Check-In

Requirements

    • Supported printer models
      • Brother QL-820NWBc
      • Brother QL-820NWB
    • Software versions
      • Access application 3.4.20 or later
      • Access mobile app (iPhone | iPad | Android phone) 2.11.0 or later
        • iPad is used for configuring the Kiosk Mode.
        • iOS and Android are used for approving visitors' check-in requests.

Note: Kiosk Mode will be expanded to UniFi Identity Hub and Identity Enterprise in a future version. 

  1. Install and open the UniFi Access app on your iPad and navigate to Settings > Kiosk Mode.
  2. Select a badge printer:
    • Connect the printer to your network (2.4 GHz Wi-Fi or Ethernet).
    • The iPad and printer must be on the same VLAN to be detected.
  3. Customize the Logo, Heading, and Background displayed on the iPad.
  4. Configure Security Options:
    • Require ID Card: Visitors must scan an ID card to verify their identity.
    • Require Photo Capture: Visitors must take a face photo using the iPad's camera. The photo will be shown in Access application > Settings > Visitors.
    • Require Admin Remote Approval: Admins must approve the visitor check-in remotely via a push notification on their Access web application or mobile app. They can approve or reject the check-in request and talk to the visitor.
  5. Configure Badge Printer by tapping Set Up Printer (optional) and tapping Badge Print Settings to choose which details to show on the visitor badge:
    • Logo
    • Person to Visit
    • Company
    • Remark
  6. Tap Enable Kiosk Mode.
  7. (Optional) To exit the mode or modify the settings, tap the upper-right Quit Kiosk Mode and then re-enter your UI Account credentials.

Changing/Viewing Visitor Status

You can manually change or view a visitor's status by navigating to Access application > Settings > Visitors > select a visitor > Overview.

  • Mark as Arrived: Visitor has arrived and accessed a designated location.
  • Mark as Complete: Visit has ended.
  • Cancel Visit: Visit canceled, and visitor's access credentials revoked.
  • Check-In Time: Visitor has checked in at the self-service kiosk. ID card and face photo are also displayed if these options are enabled in Security Options.

Unlocking Doors with Assigned Credentials

Once invited, visitors will receive an email with the visit details, including their access methods.

  • QR Code: Scan a QR code at the reader to unlock a door.
  • NFC Card: Tap an NFC card against a reader to unlock a door.
  • PIN: Enter a PIN on a reader to unlock a door.
  • License Plate: Position a vehicle within the detection zone of the nearby UniFi surveillance camera to unlock a gate or garage door.

FAQs

Can a visitor be assigned multiple access methods?

Yes. Visitors can be assigned multiple access methods as needed.

Can a visitor access a door outside their scheduled visit?

No. Visitors' access credentials are automatically revoked once the visit time ends, ensuring your spaces stay secure.

Can a visitor open a door without completing check-in?

It depends on whether the Require Check-In at the Kiosk option is enabled for the visitor.

  • If enabled, the visitor must first complete check-in at the self-service kiosk before gaining door access. For more details, see our detailed Self-Service Check-In Visitor's Guide.
  • If not enabled, the visitor can unlock a door directly using their authorized method (e.g., QR code, NFC card, or PIN) without needing to check in.

How do I remotely approve a visitor's check-in request?

If the Require Admin Remote Approval option is enabled, you'll receive a push notification on your Access web application and mobile app when a visitor checks in at a self-service kiosk. From the notification, you can:

  • Approve the visitor's check-in request
  • Access live view and talk to the visitor (one-way video: only admins can see the visitors)
  • Reject the visitor's check-in request

How do I allow Identity Endpoint users to create visitor schedules?

Navigate to Access application (requires Access 3.4.20 or later) > Settings > Visitors and enable Allow User-Managed Visitor Passes.

Once enabled, users can tap Visitor Pass on their Identity Endpoint Android or iOS mobile app (requires 2.3.0 or later) to create a visitor schedule and share the visitor details, including a QR code, with their guest.
