Assigning Devices and Phone Numbers to Users in UniFi Talk
UniFi Talk simplifies communication by enabling quick assignment of devices and phone numbers to users, supporting seamless connectivity and efficient call management. It’s easy to give your employees their own distinct phone number, or to share a single phone number across groups.
Assigning Devices and Phone Numbers
To manage and use phones and phone numbers, they must first be assigned to users. After assigning a phone, you can assign a phone number or move them into a Talk Group.

Assigning Devices to Users
You can assign devices to users from the Devices page or from the User’s profile:
From the Devices Page:
- Navigate to Assignments > Devices.
- Select the phone you want to assign and click Assign Device.
- Choose a user from the drop-down menu and click Assign.
From the User Profile:
- Go to Assignments > Users and select a user.
- In the Settings tab, click Manage.
- Choose a phone from the Assigned Device drop-down menu and click Apply Changes.
Assigning Numbers to Users
- Navigate to Assignments > Users.
- Select a user and open the Settings tab.
- Under Manage, select the desired number from the Number drop-down.
- Click Apply Changes.
Note: Users without an assigned number can still make unlimited internal calls, but cannot make or receive external ones.
Set Up Failover Redirect Numbers
Ensure calls are still received during outages by setting a failover number:
- Navigate to Settings > Call Settings > Failover Redirect Number in the UniFi Talk application.
- Enter the redirect number for incoming calls during system downtime.
Set Up Talk Groups
Groups in UniFi Talk allow multiple users to share a single phone number. You can configure group call handling to ring all users simultaneously or in a specified order.
- Go to Assignments > Users and click Add Group.
- Name the group and optionally assign a number and internal extension.
- Choose between Simultaneous (all phones ring at once) or Sequential (phones ring in a defined order) call handling.
- Add group members.
- Optionally, configure the Ringback tone (audio heard by callers when calling the group).
- Click Add.
Note: UniFi Talk Groups are different from User Groups in UniFi, which allow you to batch manage users across your entire UniFi deployment. To learn more about User Groups in UniFi, click here.
