UniFi Identity Enterprise - Import Users from Google Workspace, Microsoft 365, CSV File, or UniFi OS
Import Users from Google Workspace or Microsoft 365
Note: This feature is unavailable in the Identity Enterprise Basic Plan. To use this feature, please subscribe to the Identity Enterprise Standard Plan or apply for a free trial.
- To subscribe to the Standard Plan, please use your owner account to sign in to your Identity Enterprise Manager and go to Settings > Plan & Billing > Upgrade Plan.
- To apply for a free trial, please use your owner account to sign in to your Identity Enterprise Manager and go to Settings > Plan & Billing > Feature Usage > Apply for Plan Add-Ons.
- Sign in to your Identity Enterprise Manager (https://[your workspace domain].ui.com/cloud).
- Go to Organization > Directory Integration > Import Users from Cloud Directory.
- Select "Google Workspace "or "Microsoft 365".
- Confirm to connect to Google Workspace or Microsoft 365. Only Google Workspace or Microsoft 365 admins can authorize permissions for importing users to UniFi Identity Enterprise. Once authorized, a list of Google Workspace or Microsoft 365 users will be displayed.
- Click Authorize G Suite or Authorize Office 365 to authorize the service.
- Select the users you want to import to UniFi Identity Enterprise. Note: Only Microsoft users who have licenses assigned will appear in the list. This limitation derives from Microsoft's API.
- Click Import to UniFi Identity Enterprise and wait for the import to complete.
- The number of users imported successfully will be displayed.
- If an import error occurred, go to the Reason column to view the details.
- Once the import is complete, the user status will change to "Pending" and the users will receive an invitation email. Their status will change to "Active" once they activate their accounts through the invitation emails.
Import Users from CSV File
- Sign in to your Identity Enterprise Manager (https://[your workspace domain].ui.com/cloud).
- Go to Organization > Directory Integration> Import Users from CSV File.
- Click Upload CSV FIle.
- Click template to download the CSV template file.
- Open the template file and enter the user information according to the requested format. Do not modify the columns or column headers. Then save the file in a CSV format.
- Upload your CSV file through drag and drop or by clicking Upload.
- Select the users you want to import to your UniFi Identity Enterprise workspace and click Import Selected Users.
- Select a group that you want to add the users to.
- Tick the "Send Invitation Email" checkbox to send an invitation email to the users.
- Click Confirm.
- Once the user import is complete, the import results will be displayed.
Import Users from UniFi OS
Once upgraded to UniFi Identity Enterprise, you need to import users from UniFi OS to Identity Enterprise and manage them centrally in your Identity Enterprise Manager > Organization > Members > Users.
Notes:
- Once Identity Enterprise is activated, you can only manage users in Identity Enterprise Manager > Organizations > Members.
- When users are imported, their PINs and NFC cards will also be imported if no NFC cards and PINs have ever been registered in or imported to your workspace.
- When you create a new admin on UniFi OS, you can choose to import them to Identity Enterprise.
Automatic Import
Identity Enterprise can automatically import UniFi OS users based on your import settings when a new console is added to your workspace or a new UniFi OS admin is added to your console.
Note: The pending UniFi OS users cannot be imported automatically unless they accept invitations to join the console.
To specify import settings:
- Go to your Identity Enterprise Manager > Organization > Directory Integration > Import Users from UniFi OS > Import Settings.
- Tick the checkboxes as needed:
- Auto-Merge Users with Matching Emails: When a new UniFi OS user’s email address matches an existing Identity Enterprise user’s email address, Identity Enterprise will automatically import and merge their accounts. See Understand User Merging below for details
- Auto-Invite Users with New Email: When a new UniFi OS user’s email address does not match any of an existing Identity Enterprise user’s email address, Identity Enterprise will automatically create an account with the UniFi OS user’s email address and send them an invitation email. They can follow the instructions in the invitation email to activate their Identity Enterprise accounts.
- Auto-Ignore Users without Emails: When a new UniFi OS user has no email address, Identity Enterprise will automatically move them to the Pending Confirmation > Ignored tab, and you can restore and specify an import action for them anytime.
Manual Import
- Go to your Identity Enterprise Manager > Organization > Directory Integration > Import Users from UniFi OS.
- Select a console and go to Pending Confirmation.
- Select the users to be imported and specify the action:
- Create New User: When the selected UniFi OS user’s email address does not match any existing Identity Enterprise user’s email address, you can select to create a new user. Once confirmed, a new user account will be created using the UniFi OS user's email address.
- Select a User: When the selected UniFi OS user’s email address does not match any existing Identity Enterprise user’s email address, you can select an existing user to merge. See Understand User Merging below for details
- Merge: When the selected UniFi OS user’s email address matches an existing Identity Enterprise user’s email address, you can select to merge them. See Understand User Merging below for details
- Ignore: Once ignored, Identity Enterprise will move them to the Pending Confirmation > Ignored tab, and you can restore them and specify an import action for them anytime.
- Tick the Send Invitation Email checkbox to send an account invitation email to the users. If you skip sending invitations, the user’s status will be “Staged” and they not be able to activate their Identity Enterprise accounts. Learn more about activating Staged users
- Click Confirm Selection. Once imported, the users will be displayed in Organization > Members > Users. Learn more about user status
Understand User Merging
When a UniFi OS user is merged with an Identity Enterprise user:
- Account: The user can use their email address displayed in the Identity Enterprise Member column to sign in to Identity Enterprise, and can still use their UI Account to sign in to their UniFi Console and UniFi apps.
- Permission: If the user has permission to manage the UniFi Console from both their Identity Enterprise account and the UI Account or local credentials, the user will retain the higher-level permission.
Monitor Import Tasks
When an import task is complete, you can view the import result and imported users in Import Monitoring.
